Across Canada, there are thousands of local, volunteer-led sports and recreation groups—many hidden gems within just a 20-minute drive of your home. You might be surprised how many you’ve never heard of!

After over a decade volunteering, coaching, and leading a community-based softball association, I’ve learned a few key strategies for boosting registration and increasing visibility—without a big budget or full-time staff.

Most community groups are volunteer-run, which means limited time, resources, and funds for marketing. Whether you rely on a website, social media, or simple word-of-mouth, what really makes a difference is having the right information clearly available and easy to find.

To help new participants discover your organization, compare their options, and get inspired to register, create a simple, engaging one-page info sheet. Here’s what to include:

What to Include on Your One-Page Organization Overview

About Us

Share a short introduction to your group—your mission, values, and a bit of your history.

Who You Serve

Clearly outline the age groups, genders, and skill levels you support (e.g. beginners, recreational, competitive, house league, rep teams, etc.).

Programs Offered

Describe the types of programs you run. Do you form teams? Offer individual instruction? Will participants need to travel? Is gear or a uniform required? What’s your coaching style?

Where It Happens

Let people know where your activities are held and where your main point of contact is located. Be specific—include landmarks, city names, or community centers.

When It Happens

List the days and times your programs run, and during which season(s). Also let families know when registration opens versus when the activities begin.

Costs

Be transparent. Share the registration fee and any additional costs (equipment,
uniforms, travel, etc.). If you offer discounts, bursaries, or financial assistance, mention that here too.

How to Register

Include a direct link to your registration page, along with an email or phone number for anyone who wants to reach out with questions.

Amenities & Extra Features

Does your location have parking? Is it transit accessible? Are there washrooms, drop-off areas, or wheelchair access? Do you have certified coaches or inclusive programming? These small details can make a big difference for families making a choice.

Creating a single, informative page like this helps potential members get to know you fast—and feel confident registering. When you make it easy to connect and understand your offerings, more people will discover your group and join your community.
